This Privacy Policy explains how TolHouse collects, uses, and protects information you provide when using TolHouse websites, Membership forms, event pages, and Member-facing digital services.
1. Information We Collect
We may collect information you voluntarily submit, including your name, email address, phone number, mailing address, date of birth, professional details, and other information provided during Membership applications or contact inquiries.
We may also collect transaction and booking information, including event registrations, reservation details, and payment-related metadata processed by third-party payment providers.
When Members use Member-facing tools, we may collect account, device, notification, and usage information needed to operate those features.
Location Data: When you use the TolHouse mobile app, we may collect your precise location data with your permission. Location data is used to verify your presence at the club for the check-in feature, which awards points when you visit. Location data is collected only when you actively use the check-in feature and is not tracked in the background. You can disable location access at any time through your device settings.
Camera and Photos: The app may request access to your camera or photo library to allow you to update your profile photo. Photos are not collected or used for any other purpose.
2. How We Use Information
TolHouse uses information to operate the website, review Membership applications, process bookings and payments, respond to inquiries, communicate with applicants or Members, and improve the experience of our services.
We may also use information for internal analytics, fraud prevention, operational support, and customer service.
4. Payments
Payment details are processed through third-party providers. TolHouse does not store full payment card data on its own servers.
5. Data Retention
We retain information for as long as reasonably necessary to operate services, manage Membership records, comply with legal requirements, resolve disputes, and protect the business.
6. Security
We use reasonable administrative, technical, and organizational measures to protect information, but no system can guarantee absolute security.
7. Your Choices
You may contact us to request updates or corrections to information you have submitted. Some information may need to be retained for legal, operational, or recordkeeping reasons.
You may also opt out of certain communications by following unsubscribe instructions where available.
8. Mobile Application
The TolHouse mobile app may request access to device features including location services, camera, photo library, and push notifications. These permissions are used solely to provide app features such as check-in, profile management, and event notifications.
Push notifications are sent through a third-party service (OneSignal) to deliver event reminders, booking updates, and community activity alerts. You can disable push notifications through your device settings at any time.
The app does not collect data in the background when not in active use.
9. Event Text Messages
When purchasing or reserving an event ticket, you may optionally consent to receive important operational updates about that show by text message. Consent is not required to make a purchase. We retain the phone number, consent language, consent source, and consent time as a record of your choice.
Event texts are delivered through OneSignal. Message frequency varies, message and data rates may apply, and you may opt out at any time by replying STOP.
10. Third-Party Links
TolHouse websites may link to third-party services such as external event booking pages. We are not responsible for the privacy practices of third-party websites or platforms.
11. Changes to This Policy
TolHouse may update this Privacy Policy from time to time. When changes are posted, the updated version becomes effective on the date shown above.
12. Website and Member Portal Activity
When you use tolhouse.com or the Member portal, we record which pages you open and when. If you are signed in, that activity is linked to your Member record so we can understand how the services are actually used and where they are getting in your way.
We record the page, not what is on it. Web addresses are stripped of anything that could identify a specific record before they are stored, and pages involving payment or account setup are never recorded at all.
Detailed activity is kept for 90 days and then deleted. After that we keep only summary counts, such as how many people opened a page on a given day.
This is our own measurement - it is not shared with an advertising network. If your browser sends a "Do Not Track" signal we honour it, and you can ask us to stop recording your activity at any time by contacting us.
