
Meetings at TolHouse: A Guide
At TolHouse, we strive to ensure that every Member’s meeting is a success. To help you make the most of our meeting spaces, here are some best practices to follow:
- Tech Check Pre-Meeting:
We highly recommend scheduling a tech check at least 1 hour before your meeting. If your meeting is at the start of the day, we recommend coming the day before to perform this tech check, at end of day. This allows you time to set up and test any equipment—such as screens, sound systems, or conference call tools—before your group arrives. Familiarizing yourself with the technology ahead of time ensures a seamless experience for you and your attendees. - Early Setup:
Arrive 30 minutes before your meeting starts to allow time for room setup and any last-minute adjustments. This helps to avoid delays and ensures that everything is in place when your guests arrive. - Confirm Your Requirements:
Before the day of your meeting, double-check that the space you’ve booked meets your needs (e.g., room capacity, layout, available technology). If you require additional services or equipment, please request them in advance. - Wi-Fi and Connectivity:
Test your devices for Wi-Fi connectivity during the tech check to avoid any network interruptions during the meeting. We provide strong and secure connections, but it’s always best to verify early. - Communicate with Attendees:
Ensure your attendees are aware of key details, such as the meeting room location, building entry information, and any requirements for accessing digital files or presentations ahead of time. Ensure your attendees know that no outside food or beverages are permitted at TolHouse. An on-site coffeehouse and café is available! - Respect Time Allocations:
Be mindful of your booking time. This ensures you have sufficient time to wrap up and clear the space for the next group without feeling rushed.
